Clinical Trial kitting supply sounds simple enough on paper. In practice, it's where a lot of studies quietly run into trouble. Poor quality, late deliveries, suppliers who can't flex when the protocol changes - such issues come up constantly, and they're worth thinking through before you sign anyone up.
Identifying and overcoming supplier issues
1. Inconsistent quality
When
Clinical Trial kitting supply quality isn't consistent, problems follow quickly. Mishandled kits, data collection errors, frustrated site managers and nurses; and patients who have a poor experience. That last point tends to get underweighted at the planning stage. Patient drop-outs are expensive and disruptive, and bad kitting is a real contributor.
When you're assessing suppliers, ask how they benchmark quality and what happens when a supply deviation occurs. Do they have corrective action policies, or are they improvising? How receptive are they to compliance audits?
The other thing that helps is getting the supplier involved early, at protocol stage if you can. If they know your requirements from the start, they can plan around them. Trying to fix inconsistency once supply is already rolling is a much harder conversation.
2. Late supply
A participant whose visit gets rescheduled because the right kit isn't there is inconvenienced, risks dropping out, and the trial's integrity takes a small hit each time. These things accumulate.
Push suppliers on specifics when you're vetting them. Can they supply to every country your study needs? What are their
Importer of Record (IoR) capabilities? Have they done cold-chain shipments into Southern Africa or similar regions? If they can't give you convincing answers at this stage, that gap won't close once the study is running.
3. Lack of flexibility
Kitting requirements change during a trial. Quantities shift, items get amended, protocols evolve. A supplier who can only operate in a straight line will become a bottleneck.
Ask them for real examples of where they've adapted to changing specifications mid-study. It's a straightforward question, and how they answer it tells you quite a bit.
